WFP - World Food Programme

World Food Programme is recruiting a Procurement SC 5, to be based in Maputo, Mozambique.

Duties
  • In coordination with all relevant parties, ensure that all necessary processes and rates are in place to facilitate the transport and delivery of WFP commodities, as well as by safeguarding WFP’s interests through avoid / minimise operations delays
  • Prepare the CCTI reports
  • Assist with update of shortlist of service providers (including send and receive questionnaires from service providers, guide potential service providers on WFP needs)
  • Assist in conducting market studies (information gathering, setting up of meetings, preparing information)
  • Assist in monitoring markets – identify trends and new private sector initiatives
  • Assist in renewing contracting formats and templates
  • Assist in evaluating the performance of WFP service providers
  • Assist in launching and assessing new tenders, as well as prepare for internal WFP procedures in this connection
  • Prepare correspondence and reports in English and Portuguese
  • Assist with negotiation of Field Level Agreements and provision of guidance to Head of Sub-Offices
  • Prepare memos, letters, reports, spreadsheets, as requested
  • Filing: Archive electronically all current contracts
    Logistics Cluster
  • Assist in organising Logistic Cluster meetings, minutes and reports
  • Assist with Cluster work in emergencies
    Food procurement
  • Perform administrative procurement activities in a timely and efficient manner, to support Professional staff in the acquisition of goods and services for efficient field operations
  • Compile data, prepare and distribute documents, to support successful procurement programs and operational activities, (e.g. issue tenders, evaluate offers and negotiate/award contracts), ensuring standard processes are followed
  • Review, record and prioritise purchasing requests, ensuring all supporting documentation is received, and funding is available, in order to enable the procurement of food
  • Coordinate and monitor the supplier’s deliveries by verifying receipt and/or inspection of deliverables, and performing follow up actions to ensure supplies delivered in line with the contractual terms
  • Research, collate and present information in standard formats, to enable informed decision-making and consistency of information presented to the stakeholders
  • Update, manage and maintain relevant databases and records, to ensure the information is accurate, organised, and available for others to access, and supports reporting requirements
  • Liaise with internal counterparts to support the alignment of procurement activities with wider programmes and ensure a coherent approach to meeting food assistance needs
  • Provide technical support and/or allocate work to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines
  • Follow standard emergency preparedness practices to support WFP to quickly respond and deploy food and needed resources to affected areas at the onset of the crisis
  • Perform other related duties as required
Requisites
  • Letter of application

  • Education: Completion of secondary school education. A post-secondary certificate in related functional area is desirable
  • Language: Fluency in both oral and written communication in Portuguese and intermediate knowledge in English
