DAI SPEED is recruiting a Grants Intern, to be based in Maputo, Mozambique.
Description
  • The USAID Supporting the Enabling Environment for Development (SPEED) program supports the Government of Mozambique (GRM) to develop and implement policies that improve the country’s business enabling environment, thereby enhancing the role of the private sector in agriculture, trade facilitation, health, energy, and biodiversity conservation
  • The program also strengthens economic governance and public financial management and enhances the role of civil society in supporting Mozambique’s ability to plan, manage, and finance its own development. We are looking for dynamic and motivated young professionals to assist and play a pivotal role of ensuring compliance and consistently administering grants across different portfolios
  • Duration: 6 months

Duties
  • The specific duties include, but are not limited to:
Support on grants selection, due diligence, proposals, and budgets negotiation within the Grant Department
  • Research and Analysis: Assist in conducting research to identify potential grantees that align with the organization's mission and funding priorities
  • Due Diligence: Gathering information on prospective grantees, including organizational documents, financial statements, programmatic outcomes, and references. Help verify the credibility and capacity of grantees to effectively utilize grant funds and achieve desired outcomes
  • Budget Analysis: Analyze grant budgets submitted by prospective grantees. Review budget narratives, line-item expenses, and funding sources to ensure accuracy, reasonableness, and alignment with proposed activities and outcomes
  • Negotiation Support: Collaborate with technical staff to negotiate grant terms and conditions with prospective grantees. Help facilitate communication between the Grant Department and grantee organizations to address any questions, concerns, or areas of negotiation
Support on drafting request for approval to USAID, issuance of grant agreements and Kick-off meeting session:
  • Drafting Requests for Approval to USAID: Collaborate with senior staff to gather relevant information, data, and supporting documents to strengthen the request. Revise draft requests for clarity, accuracy, and completeness before submission to USAID
  • Issuance of Grant Agreements: Support the preparation and issuance of grant agreements to selected grantees, ensuring that all terms, conditions, and requirements are clearly outlined and compliant with USAID regulations
  • Kick-off meeting session: Assist in scheduling and organizing kick-off meetings with grantees for project launching, providing meeting agendas, timelines, and presentation materials for the kick-off session and logistical assistance, record meeting minutes, and help facilitate discussions as needed and ensure prompt distribution of meeting summaries, action items, and next steps to all stakeholders
Support on grant monitoring, financial reports and on milestones verification:
  • Verification of Expenditures: Participate in the verification of grant expenditures by reviewing supporting documentation, such as receipts and invoices, to ensure they are accurate, allowable, and properly documented
  • Financial Analysis: Conduct basic financial analysis to identify trends, variances, and discrepancies in grant spending. Prepare summary reports or visualizations to communicate key findings to relevant stakeholders
  • Milestones tracking: Assist in tracking project milestones and deliverables outlined in grant agreements to gather relevant information
  • Compliance Monitoring: review grant agreements, funding guidelines, and regulatory requirements to ensure adherence to financial and reporting obligations
Support the filing and recording:
  • Document organization: Help establish and maintain a systematic filing system for grant-related documents, including applications, proposals, contracts, reports, and correspondence. Ensure that documents are appropriately labeled and stored in a secure and accessible manner
  • Digital file management: Assist in digitizing paper documents and organizing electronic files on shared drives or document management systems
  • Record Keeping: Support the recording of key information related to grant activities, such as grant awards, disbursements, expenditures, and milestones. Maintain accurate records in databases, spreadsheets, or other tracking tools used by the Grant Department
  • Other tasks: Everyday workflow managed including operational activities and setting up meetings
Requisites
  • Student currently enrolled in a degree (or equivalent) in Economics, business management, or accountancy (university degree or diploma completed preferred)
  • Research and analytical skills (data and financial)
  • Detail-oriented, organized, and able to manage multiple tasks effectively
  • High computer skills, including proficiency in Word, Excel, PowerPoint, and Outlook
  • Excellent drafting/writing skills in Portuguese and English
  • Collaborative and effective communicative
