US Embassy is recruiting a Executive Assistant, to be based in Maputo, Mozambique.

  • Ensure and verify that VIDA/Volunteer database is up-to-date; includes inputting data and making sure other staff input data correctly (Whereabouts, vacation, etc.)
  • Ensure and verify that PCV programming files are complete and up-to-date – both electronic on Office Share and paper in PCV files
  • Maintain a site visit tracker to track all site visits to PCVs from all units; be able to provide analytical information on site visits
  • Maintain, update, and coordinate the guest lists for events such as July 4 and Swearing-In
  • Assist Programming with tasks in peak periods, such as photocopying for IST events or photocopying and assembling site assignment packets
  • Coordinate the COS process and the ET process that involves multiple units – Admin, Medical, Programming, regional staff, and CD
  • Assist with end-of-service documents for PCVs such as Description of Service (DOS) and other documents
  • Draft correspondence to host country partners and to Peace Corps Volunteers as required
  • Maintains the CD calendar as necessary
  • Updates the Peace Corps Mozambique Volunteer Handbook as directed
  • Periodically disseminate the Master Calendar and remind staff of deadlines
  • Serve as back-up for Receptionist
  • Serve as staff liaison with PCVLs on uploading items to website and Facebook
  • Perform special tasks and assignments, e.g. maintaining a ready selection of photos for reports and brochures
  • Other general tasks: take minutes of meetings and share with staff; help with labels and filing for CD, DD, and DPT
  • Secondary school diploma (some university education or Bachelor’s degree preferred)
  • 5-7 years relevant work experience
  • Fluency in Portuguese and English. (Minimum level 3 in English)
  • Strong writing skills, organizational skills, and customer service skills
  • Strong computer skills and high comfort level with office technology
  • Ability to travel when required, including occasional overnight travel to northern and central Mozambique
  • Experience working in multi-cultural environments and prior experience working in an American organization is a plus
  • Mozambican residency and work permit
  • Ability to successfully pass a security clearance through the U.S. Embassy
