  • Purpose: The Project Assistant supports the planning, coordination, and implementation of project activities, contributing to high-quality reporting, communication, and overall project delivery
Duties
Project administration and support (85%)
  • Coordinate the preparation of reports and presentations to ensure timely and accurate project communication
  • Manage logistical planning for trainings, events, and special activities to support effective project delivery
  • Conduct regular field visits to monitor implementation progress and capture lessons learned
  • Maintain organized project documentation and staff records to support compliance and reporting
  • Support the implementation of partnership agreements with government and stakeholders to ensure alignment and collaboration
  • Support the development of training curricula and learning materials to strengthen project capacity-building efforts
Project financial management, where applicable (15%)
  • Maintain accurate daily financial records and perform monthly bank reconciliations to ensure transparent and accountable project accounting
  • Support procurement and routine banking transactions and prepare timely monthly expenditure reports for submission to the Finance Officer
Performs other duties as assigned
Scope (geographical and/or functional), Impact and Autonomy
  • The Project Assistant has functional responsibility for supporting implementation of project activities within assigned districts under the assigned project. The role operates with moderate autonomy, providing administrative, logistical, and reporting support to ensure smooth execution of field activities, under the direct supervision of the Capacity Building Officer/Project Officer
Leadership and Staff management
  • The role is accountable for setting performance goals and working towards achieving them as part of the annual performance management process
Information requirement for decision-making
  • The Project Assistant role requires regular access to Activity schedules, safety and security updates, logistical arrangements, financial updates, and implementation timelines to effectively support field activities. Most information is readily accessible through internal coordination with project, logistics, and finance staff. The role primarily involves applying standard procedures to ensure timely execution of tasks, with basic safety and security analysis and sound judgment needed to resolve routine challenges and keep activities on track
Innovation and Improvements
  • The Project Assistant supports continuous improvement by identifying opportunities to streamline administrative and logistical processes, enhance reporting accuracy, and improve coordination of field activities. Significant changes or innovations require approval from the Program Manager
Relationships & Communications: Internal / External
  • Internal Relationships: Collaborates with Program, Finance, Logistics, and M&E teams to support activity coordination, facilitate smooth implementation, and provide timely updates to supervisor(s)
  • External Relationships: Interacts with local government staff, school personnel, community members, and partner organizations to assist in project activities and represent the organization at community-level events and meetings
Requisites
  • Diploma in Social Science, Accounting or related discipline
  • Proven experience in similar position with NGO or large organization
  • Proficiency in the native languages spoken in the project provinces and surrounding areas is preferred to facilitate effective communication and community engagement
