Finance Assistant / Secretary

ILO - International Labour Organization, a UN specialized agency which seeks the promotion of social justice and internationally recognized human and labour rights, is recruiting a Finance Assistant / Secretary to be based in Maputo.

Duties
  • Responsible for good maintenance of office administrative and financial files and records
  • Code and record receipts and payment, verify the accuracy of calculations and the completeness of supporting documents, and maintain a continuing status of allotments against obligations
  • Classify and assign budget codes, verify and process claims for payment, and check vouchers, prices and claim invoices
  • Perform routine reconciliation operations involving a variety of documents and accounts which require cross referencing between accounts
  • Calculate and compile cost estimates and project budget requirements, and assist in the preparation of budge statements
  • Maintain contacts with local banks to clarify questions pertaining to office bank accounts
  • Provide advice and assist staff members and their dependants by processing requests for visas, ID, driving licenses and other necessary administrative documents in accordance with the requirements of the office, the UN and Mozambique
  • Draft correspondence, memoranda and reports on administrative matters
  • Classify and code materials relating to a number of subject-matter areas
  • Make travel arrangements, hotel reservations and prepare travel authorization forms
  • Advise, respond, make arrangements and solve problems for the procurement, shipment and receipt of office and project supplies and equipment
  • Prepare notification of dispatch and verify invoices
  • Provide secretarial and/or administrative support for meetings, seminars and/or workshops
  • Perform liaison duties with concerned ministries for required clearances
  • Maintain, update and transmit inventory records of non-expendable equipment
  • Perform other duties as assigned by the supervisor
Requisites
  • Completion of secondary school education plus formal training in accounting and/or finance or equivalent
  • Five years of experience in accounting clerical work
  • Excellent knowledge of Portuguese and English
  • Ability to work with word processing as and spreadsheet software as well as computer software packages required for work
  • Good knowledge of accounting principles and practices
  • Demonstrated ability to apply finance and accounting methods
  • Ability to maintain financial records and prepare clerical accounting reports and statements
  • Ability to work in a team and to work under pressure
  • Ability to organize own work
