US Embassy is recruiting a Work Order Clerk, to be based in Maputo.

Duties
  • Maintaining the electronic database utilized for ordering, scheduling and tracking Facility Management work order requests. Reports to, and coordinates work with the Facility Maintenance Supervisor
  • Receives work requests for maintenance, repair, and customer assistance from occupants of office buildings and residential properties. Processes customer requests for unscheduled maintenance and repair work
  • Communicates directly with internal and external customers, as needed and assures that information has been loaded into the database
  • Updates work schedules, status reports and open work requests, reports daily status to customer service liaison and supervisors
  • Determines if work orders are routine or emergency and schedules them accordingly. Inputs and maintains accurate data into the database concerning work order status, equipment information, labor hours, material costs, and employee data
  • Prepares packaged and custom reports for the Facility Manager and Customer Service Liaison
  • Assists in scheduling and setting up preventive maintenance schedules and work orders in coordination with the Preventative Maintenance Supervisor
  • Provides administrative and operational support to the Facility Manager, maintenance supervisors and staff
  • Maintains facility files and records
  • Maintains historical records of all utility costs and usage data. Performs general clerical duties
Requisites
  • Completion of secondary school. Some business or administrative schooling required
  • Two years Administrative experience and one-year experience in a Maintenance or residential construction environment with customer service exposure
  • Level III (fluent) speaking/reading/writing English is required. Level III(fluent) speaking/reading/writing Portuguese is required
  • Demonstrated knowledge of maintenance terminology and operations
  • Knowledge of computer systems and applications with emphasis on database and spreadsheet maintenance
  • Word processing experience with Microsoft word and Excel. Good customer service skills are required s
  • Possession of a valid driving permit and ability to operate motor vehicles with either manual or automatic gearbox
